The World Economic Forum is an international organization that brings together leaders from business, government, academia, and civil society to build industry, regional and global agendas, address systemic issues, and improve the state of the world.
The Institutional Communities team is responsible for the International Business Council (IBC), Community of Chairpersons (CoC) and Family Business (FB) communities, and the strategic engagement of Forum Partners in related Forum events.
Reporting lines and interactions
This role is part of the Institutional Communities team, reporting to the Head of Institutional Communities with operational accountability to the Lead, Community Engagement and Strategy, and focuses on supporting the delivery of activities and events for the International Business Council (IBC), the Community of Chairpersons (CoC), and the Family Business (FB) communities.
Breakdown of main responsibilities
Community events and delivery support
- Supporting the planning, logistics, and delivery of community events, including pre-event preparation and on-site support
- Managing event-related operational tasks including task tracking, to-do lists, and follow-ups
- Supporting pre- and post-event and community engagement data analysis, leveraging AI-enabled tools where appropriate to inform decision-making
- Supporting session development and agenda preparation in close collaboration with team members
- Coordinating with internal teams across the organization to ensure timely and seamless event delivery
Community communications
- Managing community-related inboxes and communications, ensuring timely responses and effective routing of requests and inquiries to appropriate stakeholders
- Supporting the team in drafting written content for community communications and events, ensuring consistency in tone and messaging
- Managing communications through Salesforce Email and Salesforce Marketing Cloud, including creation, distribution, and delivery tracking
- Maintaining accurate and up-to-date community programming and records across internal systems (e.g. Salesforce, MyForum, WeLink)
- Supporting the team in the development of marketing and engagement materials
Team coordination and operational support
- Scheduling key community calls, including Executive/Steering Committee Meetings, preparatory calls with Chairs, and onboarding calls with new members, in coordination with the Managing Director’s office
- Supporting team planning and coordination through the management of shared to-do lists and timelines
- Supporting the operational planning and coordination of annual community events across Institutional Communities, ensuring clear ownership and delivery roles
The successful candidate will be assessed on
- Ability to communicate with and manage expectations of senior executives and their staff with confidence
- Attention to detail, reliability, high efficiency and effectiveness in new and challenging environments, involving high-level stakeholders
- Ability to manage event planning and logistics for Forum events, as well as partner meetings
- Ability to manage and navigate multiple digital platforms and technologies (e.g. Salesforce, Tableau and similar tools), and to extract, analyse and translate data into accurate, useful insights to support decision-making
- Ability to think innovatively and use AI where relevant
- Ability to respond to requests in a timely manner, and ensure community records are kept up to date
- Ability to ensure communication is consistent and that internal and external stakeholders have up to date information and resources
Requirements and preferred experience
- University-level education and a learning mindset
- 3+ years of relevant experience
- Excellent oral and written communication skills in English
- Strong analytical skills, with an interest in leveraging data and AI to improve processes and operational efficiency
- Strong organizational skills, proactive approach to work, prioritization and resourcefulness
- Ability to thrive in a demanding environment and handle multiple tasks and assignments simultaneously
