Executive Assistant

As an Executive Assistant to the General Counsel / Head Legal & Compliance (GC), you will play a key role within the Legal & Compliance team composed of about 80 professionals located mainly in Zurich, Madrid, London and Poland, by supporting the GC with traditional administrative tasks but also with managerial and leadership responsibilities.
What you will do
- Providing administrative support to the GC in daily business activities, including inbox and calendar management, travel and expenses, email drafting and document management
- Handling payment of invoices from external counsel and other providers
- Supporting the Business Management team with the organisation of offsite meetings, events and workshops
- Taking responsibility for certain team communication and coordination, for example, in the areas of internal reporting, operational and IT developments
- Acting as the “glue” across teams by guiding team members and fostering team collaboration and inclusion, for example, with new joiners or with new processes
- Possibility to take part in additional operational and managerial responsibilities depending on appetite and competencies
What you bring
- Minimum 5 years working experience as an Executive Assistant, Paralegal or Operation Officer
- Fluent in English and German and excellent drafting skills
- High degree of discretion and confidentiality – the position is particularly demanding of this
- Ability to rapidly build an internal network across the organisation, fostering trust and entre-aide
- Ability to adapt to different styles and requirements, embracing change as an opportunity to learn
- Intrinsic service mindset, with excellent communication skills and manners combined with natural authority to set boundaries
- Independent working style, high reliability and excellent organizational skills, balancing speed with quality
- Proficient in MS Office applications and Sharepoint site
