“The MSF office in Zurich represents the organization towards public and private stakeholders, as well as the Swiss government and supports MSF OCG in Geneva in the areas of fundraising, human resources, media and public relations in non-French speaking Switzerland.
The Assistant and Officer Manager provide administrative support to the MSF Representative and Zurich Head of Office, including external relations and ensures the smooth running of the Zurich office administration, facilities management, as well as front office. "
Tasks & Responsibilities

Support, the Head of Zurich Office in managing the daily agenda, appointments, and meetings of the organization (internal and external).

Support in the organization of office/Department meetings and events hosted at or by the Zurich office, including agenda setting, minute-taking, and logistical arrangements.

Responsible for front desk duties, including visitors, official email, and telephone enquiries and processing of requests.

Manages the office’s administrative needs, including stock management of office and facility material, invoice management.

Coordinates with Logistics Geneva and various local service providers.

Coordinates internal knowledge management of information and archiving.

Provide backup support to Zurich staff as needed
Your profile
Education
Essential : Commercial school with a federal examination or similar qualification

Tertiary degree or equivalent
Desired : Additional relevant qualifications or certifications
Experience
Essential :

Previous experience as an assistant in project coordination or management.

Project management
Desired : Experience with an NGO/international organization is a plus.
Languages
Essential:

German and Swiss German (fully fluent C2)

French and English (C1 fluent written/oral)
Desired:

Italian would be a plus
Skills/ Technical competencies

Good secretarial skills, client oriented (writing / oral) with attention to detail.

Facility and event management.

Exposure to the NGO world and/or humanitarian topics, a plus.

Proficiency in IT, internet navigation, and office software

Terms of employment

Full-time position 100% (40h/week)

Working place: Zurich, Switzerland

Ideal start date: January 5th, 2026

Gross annual salary (for 100%): from CHF 80’856.- to CHF 97’224.- (salary commensurate with equivalent experience and internal salary grid)

Paid vacation: 25 days per year, prorate temporis, plus any Swiss public holidays falling within the contract period.

Pension plan: pension contribution covered 3/4 by MSF, 1/4 by staff member.

Relocation package if moving from a different country to Switzerland.
