Assistant to the Executive Management (100%)
Your task is demanding and versatile.
You support the IV office manager in his duties as well as additionally in his role as president of the IV office conference and the IV management team – both organizationally and administratively. You coordinate appointments, prepare meetings and events before and after, and ensure a smooth process. This also includes various classic assistant tasks such as email processing and ad hoc tasks. With a confident sense of language and structure, you create and revise reports, speeches, presentations, news contributions, and minutes. You communicate with internal and external contacts and independently and confidently handle correspondence. As part of the executive assistant team, you represent each other and actively contribute to the flow of information within the executive management as well as to other internal contacts. You participate in publications and independently manage the IV office intranet as well as information pages in digital collaboration. Complaint management is also part of your responsibilities – you keep an overview, respond solution-oriented, and ensure that concerns are handled professionally.

You have a commercial education and have further qualified yourself (e.g., at the specialist certificate level) or completed a university degree. Several years of professional experience in a similar position complete your profile. Thanks to your quick comprehension and networked thinking, you quickly familiarize yourself with complex topics and recognize the essentials. You are a discreet, engaging personality with a pronounced service understanding and a professional appearance. You easily switch between demanding tasks and administrative routine activities. You appreciate a varied activity with scope for creativity and actively contribute to the team. Fluent German skills and good spoken French skills are required.
