Job Summary
In this role, you will manage and coordinate all orders from external and internal clients. You will ensure orders are accurately entered into the Clinical Distribution system and courier systems, meeting all necessary GMP documentation standards. Liaising closely with our warehouse pick and pack team, you will ensure all orders are ready by the cut-off time and uphold Fisher Quality standards and timelines.
Responsibilities
- Collaborate with Distribution Project Managers to manage orders through the Distribution Module and courier systems
- Process orders to meet daily deadlines
- Ensure the inclusion of all GMP documentation with orders
- Act as a double check for order approval
- Maintain the orders inbox
- Complete all logistics items associated with order processing, including ensuring orders are in the appointed courier system and order container when specified
- Generate proforma invoices based on approved templates when required
- Send proforma invoices for site shipments requesting the green light
- Complete manual pre-alerts where required
- Manage daily courier operations as detailed in the Courier responsibilities matrix
- Coordinate with pick and pack to arrange courier pick-up for emergency shipments
- Provide green light for import shipments for both Fisher Clinical Services Switzerland and Germany, resolving and communicating associated customs clearance issues
Qualifications
- Commercial apprenticeship or comparable education
- Ideally 3 years of experience in a logistics/freight forwarding environment
- Proven logistics knowledge, especially in courier management
- Computer literacy (Excel, intermediate level, ability to work with formulas)
- Strong numerical skills
- Outstanding organization skills with the ability to meet daily and monthly deadlines
- Excellent communication and coordination skills
- Previous work experience in an administrative/logistics environment is preferred
- Ability to work independently with minimal supervision
- Ability to excel in a fast-paced setting
- Flexibility to adapt to changing internal and external customer and department requirements daily
- High level of team motivation
- Working knowledge of English and German is compulsory for this role
