The Oncology Department provides diagnostic and therapeutic care for adult patients suffering from cancer and supports patients and their relatives. The goal is to ensure access to the best anti-cancer treatment, offer appropriate care, and anticipate the needs of hospitalized patients (bone marrow transplant, cell therapy, immunotherapy, etc.). Additionally, the Cancer Center coordinates cross-sectional activities dedicated to cancer issues between services and departments.
It includes 4 services (hematology, oncology, precision oncology, and radio-oncology) and is composed of about 300 employees.
Job Description
Within the secretariat of the assistant doctors of the hematology department, you provide administrative support related to their clinical and academic activities.
You manage the stem cell transplant program: donor search, lymphocyte donation, preparation of pre-transplant assessments, management and adaptation of files according to the donor type and insurance, verification of services, and typing of complex reports.
You ensure the administrative follow-up of hospital units 7DL and 7EL (20% on Fridays). You write and format medical reports (discharge, transfer, and death letters, admission and follow-up notes), create and open processes in the Workflow, and handle patient documents (certificates, prescriptions). You also manage mail, emails, archiving, and document scanning. You follow up on health insurance requests and guarantees and participate in billing file processing.
You coordinate training requests and congress participation for doctors. You record training in myFMH and ensure CV updates. You organize business trips, manage registrations, and handle expense reimbursements.
You schedule meetings, colloquia, and conferences, and write minutes.
You organize appointments with pharmaceutical representatives and process requests for equipment orders or interventions.
You monitor the department's databases and statistical tables. You manage mail and perform complex billing (laboratory, research, UNIGE, advisory boards, and others).
Independently, you manage doctors' schedules, on-call rosters, and agenda organization, including those of trainee doctors.
Your role requires rigorous priority management and the ability to respond effectively to varied requests.

We are looking for an organized, proactive, rigorous, and autonomous person capable of working in a demanding and specialized environment. Your sense of service, discretion, and ability to manage complex files with precision make you a key collaborator.
Qualifications
You hold a Federal VET Diploma (CFC) and higher administrative training such as a Federal Certificate of Assistant or Executive Assistant.
You have 5 years of successful experience in a similar position. Knowledge of academic and research activities is an asset.
You have excellent command of French, both spoken and written, and proven writing skills. Medical terminology is easily understandable to you.
Proficiency in a foreign language (English or German at B2 level) and knowledge of other foreign languages is an asset.
You hold the ECDL Expert certificate in Word, Excel, PowerPoint, and have very good knowledge of software used at HUG (DPA, DPI, CEGID, GRECO2, OPALE).
Excellent computer skills and a strong sense of confidentiality are essential.
You also have the tools to handle unforeseen events and easily manage stressful situations and priorities.
Finally, you demonstrate discretion and respect for confidentiality.
