Job Description
Main mission
As a true anchor point of the site, the Hospitality Coordinator ensures the reception, daily coordination, and smooth operation of the spaces, while offering a 5-star experience to visitors, residents, and partners of the Hub.
Main responsibilities
Reception & Visitor Experience
Welcome visitors, VIPs, residents, and partners in a professional and warm manner.
Manage telephone reception, filter and redirect calls.
Manage the cloakroom and guide visitors during events.
Organize and conduct site tours.
Operational building management
Open and close the building according to defined procedures.
Ensure cleanliness, tidiness, and proper maintenance of common areas.
Manage stocks related to common areas (storeroom, magazines, goodies, etc.).
Oversee and maintain opening and closing procedures.
Manage inventories (library, common equipment).
Café & Hospitality Area Management
Ensure restocking, cleanliness, and presentation of the café/bar area.
Ensure the quality of the experience in hospitality areas.
Mail, deliveries & logistics
Receive, sort, and distribute mail, parcels, and deliveries.
Coordinate transportation (taxis, drivers) for visitors and partners.
Internal communication & coordination
Coordinate with other campus receptions.
Manage a generic mailbox (sorting, responding, redirecting).
Occasionally animate information groups (visitors, students, events).
Event support
Support the event team during events (reception, logistics, cloakroom).
Participate in ensuring smooth event operations.
Administrative & management support
Support the organization of the management’s agenda and appointments.
Centralize and track certain incoming applications or requests.
Relationship with residents
Be the daily contact for resident companies for their operational needs, visitor reception, and internal coordination.
Qualifications
Training or experience in hospitality, reception, event management, or high-end hospitality.
Excellent presentation, strong sense of service and organization.
High autonomy, reliability, and versatility.
Good interpersonal skills in a demanding environment.
Fluent French, good level of English required.
