Support and Coordination Specialist in the Event Sector (a)
Thanks to targeted knowledge and technology transfer, Empa transforms research results together with industry partners into marketable innovations and thus makes a significant contribution to strengthening the international competitiveness of the Swiss economy. The Empa Academy serves as a platform for knowledge transfer, where professionals from research and industry can exchange ideas with each other as well as with the general public. As a central event platform, the Empa Academy is one of the most important "showcases" of the research institute. Empa's event team designs and organizes various events in collaboration with internal and external partners.
Your tasks
- You coordinate all internal booking requests for the academy rooms and take over, among other things, logistics and communication with internal (and possibly external) service providers.
- You are responsible for renting Empa rooms to external partners (including on-site consultation, preparation of offers and rental contracts, etc.).
- You independently organize events such as training courses, internal events, and guided tours. This includes logistical planning, program creation, invitation mailings, participant management, and communication with speakers and external partners (in German and English).
- You are responsible for the administrative matters of the communications department such as invoicing and support of other activities.
- You maintain the team's intra- and internet presence as well as Empa's event calendar.
Your profile
- Completed commercial training or equivalent studies
- At least three years of professional experience in event support or organization
- Good user knowledge of event tools, e.g., for event management and mailing, as well as enjoyment in using other ICT tools such as CMS, CRM, etc.
- Structured, proactive, and initiative personality with a high degree of organizational, administrative, and coordinating skills
- High social competence, teamwork skills, and service orientation
- Very good German and English skills
- Flexible with regard to working hours
