For our growing facility management organization at a globally active client in Basel, we are looking for a
Facilities Coordinator
Your main tasks:
• Administrative tasks (approx. 30% of the job)
• Managing and processing requests from building users (ensuring that the appropriate departments are involved if necessary).
• Independently carrying out small projects in the areas of furniture and special customizations as well as optimizations of building installations.
• Organizing service providers and external craftsmen for service, maintenance, and minor repair tasks.
• Briefing and supervising external providers including creating work permits and commissioning the deactivation of fire alarms with the fire department - also for larger projects in consultation.
• Responsible for managing the site service, regular quality checks of services, fixed meetings, and commissioning of on-demand services.
• Responsible for managing building cleaning (commissioned by Head Soft Services), regular quality checks of soft services, fixed meetings, and commissioning of on-demand services - as a deputy.
• Scheduling of janitorial staff for mail service, supply/disposal tasks, and janitorial duties as needed.
• Support with orders for consumables such as flipchart paper, moderator cases, pens, etc. / distributing delivered consumables / managing interim storage.
• Assistance with seating arrangements according to orders, providing basic equipment as per order including partition walls, flipcharts, moderator cases, etc.; ensuring and checking the functionality of all technical units;
• Assistance and organization of moves with partners.
Your profile:
• Completed vocational training
• Basic knowledge of building technical systems (HVAC, AHT; Laminar Air Flow/Workstations, etc.)
• Friendly, assertive, and credible communicator towards building users and other stakeholders.
• Good interpersonal skills, tolerant regarding different cultures, as well as confident demeanor and good communication skills.
• Knowledge of special requirements in chemical/biological research.
• Knowledge of technical solutions, hazards, and critical properties of chemicals as well as the associated warning and handling instructions.
• Organizational talent and openness to creative problem-solving approaches within the given framework.
• Ability to analyze, understand, simply describe, and convey technical matters.
• Conflict management skills (enduring and resolving conflict situations).
• PC skills (Office package as well as Syngenta-specific applications).
• SUVA recognized license to operate industrial trucks and forklifts.
• Knowledge in procurement of building services, goods of all kinds, and laboratory materials.
