About the job
Your main tasks will be as follows:
- Provide administrative support to the department head as well as to his/her deputy, assisting them in various activities and routine tasks;
- Participate in internal and external meetings, manage scheduling, prepare the agenda, and write the minutes;
- Actively contribute and participate directly in the organization of meetings, training sessions, and events, also ensuring the link with the various stakeholders;
- Coordinate, be a source of proposals, and carry out routine activities related to the communication aspects of the Department of Vulnerabilities and Social Medicine (DVMS);
- Carry out, in collaboration with colleagues, the follow-up of the Secretariat of the Health and Migration Network (RESAMI) as well as telephone response;
- Serve as a practical trainer for the DVMS Secretariat for commercial apprentices.
Your assets:
- Holder of a Federal VET Diploma (CFC) as a commercial employee or other equivalent qualification;
- Training or experience in institutional communication is an asset;
- Minimum 3 years of experience in a secretariat;
- Experience in the healthcare sector and/or with vulnerable populations would be appreciated;
- Very good command of MS Office and ideally Canvas, Eventbrite, or LimeSurvey;
- Excellent command of French, both spoken and written. Knowledge of English or German is a plus;
- Good writing skills, good stress and priority management, autonomy, and proactivity;
- Ability to communicate and adapt to different contexts and people.
