The University Sports offers students and staff of the University of Basel, as well as other eligible groups, a wide and voluntary sports and exercise program currently in over 120 disciplines and operates its own fitness center. Over 8,000 people use the University Sports offer annually.
We are looking for a clerk in administration for the period from mid-September 2025 (or by arrangement) to June 2026 to temporarily strengthen our team in daily business and other administrative tasks. Your workload is 60-80%, preferably spread over 4-5 working days. You report to the Head of Central Services University Sports and are responsible for the following main tasks:
Your tasks
- Processing customer inquiries (email, phone or counter)
- Managing the main email account
- Course administration (cancellations, course cancellations, waiting lists, info letters, course lists, etc.)
- Proofreading our publications (info letters, newsletters, annual report, etc.)
- Writing meeting minutes
- Managing and settling the personal cash register
- Data entry for course and participation statistics
- Managing hall keys and emergency first aid kits of course instructors
- Preparation and coordination of shipments, including packing smaller mass shipments
- Administrative support within the team as needed
- Other administrative and secretarial tasks (e.g. mail, office supplies, archiving)
Your profile
- You have a commercial or equivalent qualification and can demonstrate several years of professional experience in administration and organization
- You enjoy routine tasks in a hub function as well as support and coordination tasks
- You are flexible, have a quick grasp, high social competence as well as pronounced quality, service and customer orientation
- You work in a structured, independent and forward-looking manner, are reliable, flexible, a team player and keep an overview even in a sometimes busy environment
- You have confident German language skills (native speaker) and good oral and written English skills
- You are proficient in IT applications (especially MS Office) and can quickly familiarize yourself with new applications
- You feel comfortable in a sporty environment and have an affinity for sports yourself
