Job Purpose

You will be part of the team responsible for managing the centralisation of procurement and cost control activities from our centres, to transition within our global Supply Chain Shared Service Centre covering +3,000 Business Centres.

 

The key objective of the position is to provide outstanding levels of service, through proactive ticket management. We aim to improve company profits by identifying and reducing unnecessary business activities and expenses by enforcing global policies, in a timely and consistent manner. On top of this, we are proactively engaging with centre teams and third-party suppliers to ensure our centres are being managed and always well maintained.

 

You are expected to be able to make decisions and follow procedures, looking for ways to improve our processes, and highlight any issues in our workflows. You must be able to work independently while maintaining efficient and high-quality performance.

 

This role requires the team leaders to carry out same duties as supply chain controllers and senior controllers whilst overseeing day to day management of a team. The team leaders will be responsible for delivering their teams’ agreed SLA’s and working closely with category managers to ensure policies and processes are followed.

 

Key Responsibilities


  1. Verify goods and services tickets in terms of information completeness and need within agreed SLA’s.



    1. validate the work is required and the information on the ticket is complete and true including the ones for new vendors



  1. approve or reject the request tickets against our global policies, within our pre-defined service level agreement including authorisation of certain high value/sensitive transactions before passing to category team for final approval

  2. Assess quotes received from vendors against cost benchmarks or open market data to ensure best prices achieved for goods and services


  1. Submit goods and services tickets to vendors and assist on post ordering concerns.



    1. Submit requests for goods or services to a list of nominated suppliers, engaging with them to accept the work within the defined service level agreement

    2. Follow up with suppliers and centres to ensure goods or services have been delivered to at least a satisfactory level.



  1. Handle any issues or concerns from suppliers, centre teams or any other internal stakeholder, and resolve problems in a timely and professional manner

  2. Carry out invoice verification checks where invoices have been submitted above the approved purchase order amount and pass outcomes back to the accounts payable team


  1. Manage the ordering apps that facilitates the goods and services ordering from the centres.



    1. ensure all details (prices, contact information, centre information etc) is up to date



  1. Help test and provide feedback on new system updates and enhancements before they are deployed into the live systems


  1. Checking of requests in adding new suppliers.


  1. Receive, process and reconcile requests for goods and services that are recharged to our customers, ensuring we remove revenue leakage across our centres.

  2. Deploy our processes into new countries, working with global operations, and local teams to set up a country in our new way of working

  3. Assist on other tasks as instructed by the management that will help the department in its overall objective.


  1. Projects and Ad Hoc Tasks Management



    1. Be able to manage projects and achieve at the right time and with acceptable quality

    2. Be able to report project status and insights for better results and efficiency

    3. Be able to collaborate with stakeholders effectively with good communication and work ethics

    4. Be able to back up Lead Controllers in managing SLA performance, ticket reviews for quality checking and handle escalations

    5. Assists on creation and management of process documentations.

    1. Ensuring teams are delivering SLA performance through coaching and using the company’s performance management processes as required

    2. Coach team members to drive SLA performance with improve work attitude / ethics

    3. Inspire and motivate team members to deliver more and achieve more in terms of delivering team objectives

    4. Develop team members into becoming better employees as they move up on their career with IWG.

Required Skills, Experience & Qualifications


  1. A great communicator.


  • demonstrates good two-way communication skills and an ability to communicate fluently in English (written and spoken). Fluency in other languages is a benefit but not a requirement.

Other notes


  1. Working policy

    • Currently on hybrid set up (2 days a week in the office, with some flexibility for specific events / training etc). Should be able to adopt to schedule changes if needed.



  2. Shifts

    • The majority of the team will work local daytime office hours but must be prepared to work shift patterns in line with European (GMT) or local hours where required.

    • Will need to be able to work on holidays if needed as the team is required to have skeletal force in some Philippine holidays.
