About the job
The area of responsibility is divided into two main areas with the corresponding responsibilities:Executive assistant for the Medical Director and the Financial Director of the university veterinary hospital, including the following tasks (approx. 60%-70%):
• Preparation and follow-up of the monthly management meetings including minute taking
• Support of the management in scheduling, agenda management, correspondence and inquiries from internal and external parties
• Coordination, planning and organization of events and functions for internal and external visitors of the management or internal events
• Expense management and accounting, processing of invoices
• Support in internal communication and publications on the respective electronic tools
• Taking on further coordinating and organizational tasks as well as the hub function for the management
Administrative assistant for the support of 2 clinics of the university veterinary hospital, including the following tasks (30%-40%):
• Management of the secretariat of the respective clinic
• Personnel responsibility for the units including all administrative processes such as entry/exit, employee evaluations, accounting and control of allowances, forecast and budget of staffing plans
• Organization of meetings and events
• Management of third-party funds, expense accounting and other general secretarial tasks
For successful collaboration, you convince with confident appearance and the following qualifications:
• Commercial basic training including further education as an executive assistant or Bachelor in Business Administration
• Several years of professional experience in a comparable role, knowledge of labor law is an advantage
• Very good knowledge of MS Office 365, especially Word, Excel, PowerPoint and common communication and collaboration tools
• Strong organizational skills, service-oriented and trustworthy personality with quick comprehension and independent, efficient working style.
• Excellent communication skills at different levels
• Fluent German, very good English skills in spoken and written form
• Positive and motivated basic attitude
• High social competence, team-oriented action, perseverance, flexibility and resilience in a very dynamic environment
