Reporting directly to the Vice President, Finance Management – International, and also providing support to the Vice President, Human Resources – Global, the Executive Assistant plays a key role in delivering high-level administrative and organizational support in a dynamic, fast-paced environment. This position requires a high degree of professionalism, discretion, and sound judgment, as it involves regular exposure to sensitive and confidential information. The role demands strong interpersonal skills, attention to detail, and the ability to manage multiple priorities while maintaining a proactive and solution-oriented approach.
In this role, a typical day can include:
Executive Support

Manages a wide range of high-level administrative tasks, including maintaining complex and dynamic calendars, preparing and submitting expense reports, drafting and editing confidential correspondence, coordinating detailed international travel arrangements, and compiling materials for meetings and business trips.

Proactively plans and coordinates schedules, ensuring priorities are respected and time is optimized. Acts as a gatekeeper and gateway, balancing access and availability to create win-win outcomes.

Handles sensitive and confidential matters with discretion and sound judgment, assessing the appropriate course of action, referral, or response.

Serves as a key liaison between the executives and internal/external stakeholders, fostering smooth communication and maintaining trust and credibility across all levels of the organization.

Keeps leaders informed of upcoming commitments, deadlines, and responsibilities, while anticipating needs and providing timely follow-up. Maintains awareness of the broader organizational context and acts as a barometer for emerging issues.

Builds and nurtures relationships critical to the success of the organization, and supports or leads special projects with cross-functional impact.

Manages competing priorities with efficiency and professionalism, ensuring timely and high-quality execution of tasks, often under tight deadlines.

Organizes and coordinates internal and external events, including team meetings, leadership offsites, office-wide gatherings, and other business-related functions, ensuring seamless execution and alignment with business objectives.
WHAT YOU’LL BRING TO ALCON:
Education / Professional Experience:

Bachelor's degree advantageous
-
Strong work tenure: five to ten years of experience supporting Executives

Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat
Languages:

Very Good written and spoken English

Knowledge of other languages (e.g. French, German, Italian) advantageous
