Our client is an international institution based in Basel, looking to strengthen their Real Estate & Facility Management (REFM) team with an experienced and hands-on professional. This role is available due to an internal transfer and offers the opportunity to contribute to the strategic development and operational excellence of the facility management function in a highly professional environment.
Description
The successful candidate will take a hands-on approach, ensuring smooth processes, effective governance, and optimal use of resources-while also acting as a reliable contact for internal and external stakeholders. The role includes periodic 24/7 on-call duty (approx. every 6-7 weeks) to manage technical alarms and coordinate incident response.
In this multifaceted professional-level role, you will:
- Coordinate the planning and forecasting of REFM budgets and human resources
- Monitor and control financial and activity-based performance indicators for facility services
- Contribute to the development and implementation of the REFM strategy and sourcing approach
- Support provider and contract management, including SLAs, negotiations and performance monitoring
- Maintain REFM-related governance frameworks, policies, norms, and compliance standards
- Collaborate with procurement and engineering teams to ensure seamless service delivery
- Organise and lead regular service review meetings with external providers
- Coordinate and track internal resource planning, staffing forecasts, and budget alignments
- Support project management and administrative functions for infrastructure initiatives
- Assist with the continuous improvement of REFM processes and systems
- Provide ad hoc reports and analysis for senior management and steering committees
- May be required to join on-call duty rotations for technical incident handling
Profile
- A degree in Business Administration or a commercial qualification in Facility Management or a related field
- At least 3-5 years of experience in facility/resource planning, contract management or FM coordination
- Fluency in English (spoken and written); German is an asset
- Strong skills in budgeting, controlling, financial reporting and administrative support
- Proficiency in business applications such as PeopleSoft, MS Office and database tools
- Proven experience working with external service providers, contracts, SLAs and performance indicators
- A collaborative mindset with the ability to communicate across departments and with senior management
- Sound project and programme support experience, ideally within a facility or infrastructure environment
