ORYL Photonics is a startup located in Epalinges near Lausanne (Switzerland). We are the first company to commercialize laboratory instruments based on Second Harmonic Scattering, a non-linear optical effect which is triggered using femtosecond lasers. We have just launched our first instrument, the Oryl F1, tailored for solubility and aggregation-research within industrial and academic life science laboratories.

Administrative Assistant
In this role, you play a key part in ORYL’s growth and success by supporting the executive management with your administrative skills. Due to the small but growing nature of our business, you will support us in a wide range of domains – from Logistics to Finance to HR.
The position is located in Epalinges, Switzerland, within the thriving Biopole community.
Your role and responsibilities include
Supporting Management in various administrative tasks, such as corresponding with partners and customers, managing bookings, and picking up the company phoneSupporting Finance in debitor and creditor management, compiling summary tables, managing grant and state subsidies reporting as well as stakeholder reportsSupporting Marketing with organizing materials, events and conferencesProcessing customer requests and ordersOrganizing shipments including establishing customs and delivery papersSupporting Management with human resources tasks, such as handling employee expenses, absence and timesheets, managing FTE allocation with respect to grantsSupport the establishment of processes and introduction of IT systems
We need somebody who
Is eager to work across disciplines
Is self-motivated and highly independent
Has proven experience in cross-border shipments from and to Switzerland
Ideally has experience in grant management (Swiss and European programs)
Is customer-centric and has a high commercial drive and enjoys interacting with people of all nationalities and cultures
Has a great business acumen, and can see the big picture of what the company needs and execute this into action
What we expect
Commercial Apprenticeship or similar
At least 2 years working experience in an administrative role
Excellent English and good French language skills
Solid computer skills including demonstrated ability to leverage generative AI tools
