Job description
We are searching for a Full-Time Assistant (6-Month Temporary Contract with Option to Extend)
Working Hours: Monday to Friday, between 07:30 and 19:00 (shifts scheduled within this timeframe)
Location: Lucerne – On-site onlyCompany
Overview: We are a dynamic company operating in the investment sector, with a strong focus on quality, professionalism, and discretion. Our office is based in Lucerne, where we maintain a collaborative and high-performing environment.
To support our reception team, we are currently looking for a reliable, experienced, and local full-time Assistant.
Position Overview:This role is initially offered as a 6-month full-time contract, with the possibility of a permanent position thereafter. We are seeking a highly organized individual who takes full ownership of tasks and thrives in a fast-paced environment. The ideal candidate is local to Lucerne, speaks German as a first language or fluently, and has relevant prior experience in a similar role.
Key Responsibilities:
- Front Desk & Visitor Management, Greet clients, guests, and staff with professionalism and warmth; maintain a presentable reception area.
- Telephone Handling: Manage and direct incoming calls in German and English; take clear, accurate messages.
- Mail and Deliveries: Receive, sort, and distribute post and packages efficiently.Scheduling Support: Coordinate appointments, meetings, and room bookings.Administrative Support: Filing (physical and digital), and general office duties.
- Travel Management: Organize travel arrangements (flights, hotels, transfers, visas) for management and staff.Private Assistance: Support the management team with selected personal or confidential tasks requiring trust and discretion.
- Office Oversight: Ensure meeting rooms and communal spaces are tidy and operational.
Requirements:
- Language: German (native or fluent) is a must; strong English skills are also required.
- Driver's license
- Experience: Prior experience in an administrative, front desk, or executive assistant role is required.
- Professionalism: Confident, well-mannered, and reliable.
- Ownership: Ability to take initiative, anticipate needs, and solve problems independently.
- Discretion: Capable of handling sensitive and private matters with confidentiality and care.
- Organizational Strength: Skilled at multitasking, prioritizing, and staying detail-oriented.Tech Literacy: Comfortable using Microsoft Office and other standard office tools.
