For the role of ADM Assistant, we are seeking an individual who is not only open to change but can also swiftly react to it. The position of Administrative Assistant at SFO Global Service AG involves providing comprehensive administrative and organizational support to our SFO teams. As an Administrative Assistant, you will help manage schedules, handle correspondence, coordinate appointments and ensure efficient day-to-day operations. 

 

Tasks

  • Answering main office telephone, customer reception and mail processing. 

  • Provide general administrative and commercial tasks. 

  • Correspondence (English/French/German) with customers, suppliers and authorities. 

  • Managing the day to dayday-to-day office management. 

  • Prepare and edit correspondence, presentations, and other documents. 

  • Assistance in private property management with focus on the French properties.

  • Coordinate meetings internal & external, conferences, and events. 

  • Maintain and update important contacts, addresses, and information. 

  • Handle confidential and sensitive information with discretion and professionalism. 

  • Conduct research, gather data, and prepare summaries or reports as needed. 

  • Prepare expense reports, manage invoices, and handle financial documentation. 

  • Any other services requested by the Company that would be reasonably expected based on expertise. 

 

Qualifications and Requirements 

 

  • Degree in business administration or a related field is preferred. 

  • work experience 3-5 years 

  • Proven experience as anAdministrative Assistant or in a similar administrative role,(ideally in international environments) 

  • Native French speaker with fluent bilingual proficiency in German 

  • Professional-level proficiency in English

  • Excellent organizational and time management skills to manage schedules and priorities. 

  • Strong communication skills to interact effectively with internal and external contacts. 

  • Excellent knowledge of MS Office 

  • Discretion, integrity, and professionalism in handling sensitive information. 

  • Ability to work independently and proactively manage tasks with minimal supervision. 

  • Adaptability to changing priorities and willingness to take on diverse responsibilities. 

  • Strong problem-solving skills and attention to detail.
