Position summary

As an Events & Administrative Assistant, you will provide high quality & proactive administrative support to the following categories:

A day in the life of an Events & Administrative Assistant

  • Organize NHSc presence to a list of selected external scientific congresses: with categories and communication alignment leading to great project management experience. This important part of your job will interact with a lot of internal and external contacts.
  • Prepare budget consolidation for department. Track and follow up on budget throughout the year, prepare reports.
  • Manage administrative tasks such as product orders and contribute to department's life cycle.
  • Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures and conduct appropriate changes.
  • Organize and prepare meeting and workshops when required.
  • Organize internal or external workshops, events & seminars.

What will make you successful

  • Confirmed professional experience as an Assistant within Nestlé or 3-5 years of experience in a similar role.
  • Previous experience in event and medical congress management is a strong need.
  • Service-oriented, trustable and open-minded with positive mindset and high sense of confidentiality.
  • Diplomacy and excellent senior stakeholder management skills.
  • Excellent organizational and prioritizing skills with ability to work in a multinational, complex environment.
  • Service oriented with strong communication skills.
  • Good knowledge of MS Office applications (especially Excel and PowerPoint) and SAP (experience in working with transaction ME51N is a plus).
  • Fluent in English, French would be a plus.
