On behalf of our client, an internationally recognized organization with a global footprint and its base in the Canton of Basel, we seek an experienced Executive Personal Assistant (EA) with a solid history of supporting C-suite executives in an international corporate setting. The ideal candidate will excel in managing complex situations, possess a proactive approach to work, and be adept at recognizing subtle cues. 

As a pivotal member of the team, you will provide personalized support to the CEO, overseeing day-to-day administrative tasks and optimizing his productivity by streamlining daily operations. Proactive problem-solving is a fundamental aspect of this role, enabling you to address routine requirements without explicit direction. Equally crucial are meticulous organizational skills and the ability to prioritize critical tasks effectively. Consequently, you execute all assigned tasks based on factors such as urgency, impact, the CEO’s specific needs, and strategic alignment. Simply put, you embody the professionalism and expertise demanded by this prominent position.

Primary Duties and Responsibilities

  • Managing a complex calendar, prioritizing appointments according to business needs, coordinating travel arrangements, meetings (both on- and off-site), conference calls, and management conferences, including related logistics.
  • Handling emails, correspondence, and calls on behalf of the CEO.
  • Keeping the CEO informed about upcoming commitments, addressing concerns, and navigating conflicting priorities with appropriate action.
  • Acting as the CEO's administrative liaison with the Board of Directors and other key stakeholders, ensuring smooth communication and collaboration between the CEO's office and other departments.
  • Facilitating committee and direct report meetings, including agenda preparation and follow-up on action items.
  • Collaborating with the Leadership Team to streamline reporting processes and ensure deadlines are met.
  • Producing presentation materials and compiling documents.
  • Maintaining organized files and ensuring timely, confidential access to documents.
  • Coordinating executive outreach and external relations and liaising with other executive assistants.
  • Professionally contributing to the business and being willing to tackle tasks of any size.

 
Qualifications
This position requires solid EA experience to oversee and coordinate a busy CEO Office. Thus, our ideal candidate is proactive and trustworthy, showcasing intelligent business support, an analytical mindset, and a strong «get-things-done attitude». The ability to think on their feet, complete tasks efficiently, and handle competing demands is essential, requiring sound judgment to balance multiple priorities - a harmonious blend of focus and flexibility and a willingness to contribute to the company's success.

Essential Requirements

  • Commercial apprenticeship, further education, and/or a B.A. in business administration with at least eight years of experience supporting C-level executives in a multinational corporate environment.
  • Fluency in German at a native or C2 level is essential, and proficiency in English at the same level is mandatory.
  • Mastery of the MS Office Suite and familiarity with modern office IT systems and business tools (Zoom, Teams, SharePoint), with a keen understanding of technology to optimize workflow efficiency.
  • Excellent communication skills, enabling seamless interaction with diverse audiences across various cultural backgrounds and organizational levels.
  • Top-notch organizational skills, with the ability to prioritize multiple tasks while maintaining attention to detail.
  • Emotional maturity and strong interpersonal skills, radiating positivity and a willingness to go the extra mile.
  • Uncompromising reliability and confidentiality as the CEO's trusted person.
  • Problem-solving abilities, robust decision-making skills, and excellent follow-through on actions and deliverables.
  • A resourceful team player with a forward-looking mindset, actively seeking opportunities and proposing solutions.
  • Flexibility to work beyond regular business hours to accommodate the CEO's schedule. While occasional remote work is feasible, the primary expectation is to function as the key office-based contact.
