Job Summary:
The Office Manager is responsible for overseeing site operations, facilities coordination, patent administration, and core office support activities to ensure the smooth and professional running of the location.
This role acts as a key liaison between internal teams and external partners, manages building and security matters, supports intellectual property administration, and provides structured administrative support to site leadership and employees. The successful candidate brings strong organisational capability, attention to detail, and the ability to manage multiple priorities with discretion and professionalism.
This is a part-time role, offering the successful candidate the opportunity to agree their working pattern with the hiring manager prior to starting. Our preference would be approximately 70% of a full working week, which could look like 3–4 full days per week, 5 mornings or afternoons per week, or another arrangement that balances both the site’s needs and the candidate’s flexibility.
Responsibilities:
• Facilities & Security Management (30%)
Oversee day-to-day building operations and security processes, manage the maintenance technician, and coordinate with landlords, contractors, agencies, tenants, and authorities. Ensure timely administrative follow-up for maintenance activities and site interventions, and organise first aid training to maintain compliance and employee safety standards.
• Patent & Intellectual Property Administration (25%)
Monitor patent files from invention disclosure through to grant, including invoice tracking and documentation management. Act as liaison between patent agencies, the legal department, and inventors to ensure accurate tracking, communication, and timely processing of documentation.
• Administrative & Site Support (15%)
Provide structured administrative support to the Site Manager and employees, ensuring a professional experience for visitors. Manage incoming and outgoing mail, oversee SAP purchase processing related to building and patent activities, and maintain efficient office systems and records.
• Stakeholder Coordination & Communication (20%)
Serve as a central point of contact for internal and external stakeholders, ensuring clear communication, timely follow-ups, and proactive issue resolution across operational and administrative matters.
• Office Operations & Continuous Improvement (10%)
Maintain organised filing systems and documentation processes, support calendar coordination and meeting logistics, and identify opportunities to improve administrative efficiency and site operations.
Minimum Qualifications:
• Proficiency in Microsoft Office Suite and SAP
• Experience in business correspondence and professional document preparation
• Strong telephone reception and professional communication skills
• Demonstrated experience in administrative organisation and filing systems
• Experience coordinating meetings and managing calendars
