Job Description
Administrative & Organisational Support
- Supporting the team with all administrative and organisational tasks
- Coordinating calendars, appointments, and internal as well as external meetings
- Preparing and organising meetings and following up on relevant tasks
- Creating and preparing documents, presentations, and internal information
- General correspondence and communication in German and English
Travel & Event Organisation
- Organising and coordinating business trips, including travel planning, bookings, and travel documentation
- Supporting the planning and execution of internal meetings, workshops, and events
- Coordinating with internal contacts and external service providers
- Assisting with expense reports and other travel-related administrative tasks
Team & Office Support
- Supporting the coordination of cross-team activities and organisational processes
- Ensuring a structured filing system and maintenance of relevant documents and information
- Assisting with the preparation of onboardings, team meetings, and internal events
- Taking on various ad-hoc tasks and independently handling smaller organisational projects
Profile
- At least 2 to 3 years of professional experience in a comparable role, for example as a Team Assistant, Administrative Assistant, Office Assistant, or in a coordinating position
- Very good German and English skills, both spoken and written
- Excellent organisational skills as well as a structured and careful working style
- Confident use of common MS Office applications
- Experience in organising meetings, business trips, and events is an advantage
- Ability to coordinate multiple tasks and priorities simultaneously and maintain an overview even in a dynamic environment
- Independent, reliable, and solution-oriented working style
- Quick comprehension and the ability to quickly familiarise yourself with new topics and processes
- Proactive personality with a good sense of the team’s needs
- Friendly, professional, and communicative manner as well as enjoyment of working in an international environment
