In 2019, the Waid and Triemli City Hospitals decided to introduce a joint KIS and evaluated a suitable provider as part of a public tender. At the end of March 2020, the Zurich City Council made the decision to award the contract and granted it to CISTEC. Parallel to the introduction of KISIM at both locations, the PDMS from MetaVision and the patient guidance system from QMatic are also being implemented.

The clinical information system currently used at the city hospital does not meet several requirements for efficient documentation and optimal support of hospital processes and is to be replaced. The introduction of a new system is also intended to enable smooth data exchange between the two locations and facilitate better cross-site collaboration.

Prof. Lars C. Huber: "The current KIS does not meet our requirements. It is prone to errors, unstable and impermeable. This means, for example, that access to a patient’s previous medical history is cumbersome and the system frequently crashes. The new KIS offers us numerous improvements over the previous systems."

The introduction at the Waid and Triemli City Hospitals will take place in stages. Already in May 2021, the eCurve and eMedication will be introduced at the Triemli site.

Further stages will follow with inpatient and outpatient reporting as well as the introduction of the PDMS. After the successful introduction of all KISIM modules at Triemli, the Big Bang introduction will take place at the Waid site.

Project initiation and contract signing

Throughout the project, over 200 people will be involved in the development, realisation, testing and introduction of the new system. Over 2,500 people will be trained in the use of the system. Good and clear project organisation, planning and division of tasks are therefore crucial success factors for the smooth running of the project and must be properly established. With the City Council decision at the end of March 2020, a project initiation and rough concept phase was started at the Waid and Triemli City Hospitals.

On 14 July, the framework contract between the Waid and Triemli City Hospitals and CISTEC was signed in the presence of Daniel Haas (CISTEC), Prof. Andreas Zollinger (SWT), Simone Wegmann (CSP), Prof. Lars C. Huber (SWT), Andreas Kundert (CISTEC) and Stefan Beyeler (SWT).

KISIM Basecamp

For the KISIM introduction, the Waid and Triemli City Hospitals formed the "KISOT" (KIS Service Owner Team) committee consisting of representatives from the medical service, nursing, IT and secretariats, which actively participates as a specialist committee in the KISIM introduction. To give the KISOT members a first insight into KISIM, the "KISIM Basecamp" took place on 20 and 25 August 2020. During a 1½-day training, KISIM was presented with its concepts and functional scope. In short sequences, functional areas and processes were presented, which the participants could then simulate themselves. With this introduction and understanding of working with KISIM, the first stage of the KISIM introduction at the Waid and Triemli City Hospitals begins.

Stage 1: Curve and Medication

In the first stage, the curve and medication will be introduced at the Triemli site. For the workshop implementation in the concept phase, around 150 super users were nominated to ensure the requirements gathering for their area, clinic and role.

The professional functional areas, divided into subprojects and working groups, are developed in workshops. The representatives of the city hospital learn about the functionality and configuration options of KISIM and can work with the system themselves at the provided reference hospital. With the support of experts from CISTEC, deviations from the reference hospital are identified, discussed and specified. The specification is implemented in the realisation phase and a KISIM adapted to the Waid and Triemli City Hospitals is provided.

Despite the difficult situation due to Corona, workshops, coordination and necessary project work can continue and the planned go-live in May 2021 is not at risk. The good and close cooperation between the Waid and Triemli City Hospitals and CISTEC and the extremely high motivation of the project team form the basis for this.
