Your main tasks will be as follows:
- Welcome and guide users according to the current institutional directives;
- Ensure the administrative management of consultations within your perimeter;
- Apply the quality directives and procedures in force;
- Take an active part in the activities of the Reception-Admissions Sector;
- Provide training for new collaborators, interns, apprentices in compliance with institutional procedures in collaboration with your hierarchy;
- Ensure good information transmission with team members to guarantee continuity of activities;
- Actively participate in administrative and inter-team meetings;
- At the request of your hierarchy, actively participate in working groups related to organizational developments and/or projects linked to infrastructure;
- Perform administrative tasks related to institutional management tools and according to site needs;
- Manage patient administrative processes in accordance with procedures and directives defined by the institution;
- Carry out various secretarial tasks included in the sector's activity and necessary for its proper functioning;
- Manage incoming mail, ensure its proper distribution and possible follow-up;
- Guarantee the processing and follow-up of documentation related to sector activities;
- Filter and prioritize information (emails, faxes, telephones, mail);
- Supply/order: manage orders for office supplies, institutional documents, and/or IT equipment;
- Participate in the improvement and/or adaptation of management tools and methods in collaboration with your hierarchy.
Your assets:
- Holder of a CFC commercial/office employee diploma or equivalent training. Experience in a medical practice and/or hospital environment would be a plus;
- Minimum 2 years experience in a similar position;
- Very good knowledge of the Office suite;
- Mastery of the French language, both spoken and written. Knowledge of English would be an asset;
- Ability to know and express your limits;
- Aptitude to relate to others and create a climate of trust;
- Ability to work in a team and in an interprofessional manner;
- Sense of priorities and openness to change.
