Role Overview [Starting with 20%]
We are seeking a proactive, organized, and versatile Executive Assistant to support our Managing Director in driving business operations, client success, and day-to-day efficiency.
Zurich based, blending executive support, administration, and finance organization.
You will be instrumental in maintaining structure across consulting, creative, and production workflows — ensuring clarity, organization, and readiness in everything from client communication to internal finance handoffs.
Your Key Responsibilities
🌍 Executive & Business Support
- Manage calendar (meetings, travel, calls)
- Take over E-Mail Inbox (according to detailed SOP & Briefing) Only include Executive when Challenges arise who are not solvable
- Prepare briefing notes, research, and follow-up tasks
- Draft and proofread proposals, presentations, and emails
- Support client relationship management (CRM updates, reminders)
🗂️ Admin & Organization
- Maintain document and project organization (Google Drive)
- Structure shared folders and assets across departments (Consultancy, Design Studio, Manufactory)
- Prepare internal reports and summaries for decision-making
💳 Finance & Operations Support
- Collect, scan, and name receipts and invoices (according to our predefined SOP and file-naming convention)
- Organize all finance documents in the correct folders for handover
- Coordinate monthly/quarterly handoff to our Treuhand office
- Track and remind team of missing receipts and due payments
- Support light expense tracking and budget overviews
✨ Client & Project Support
- Assist with onboarding materials and proposals for client projects
- Coordinate deliverable timelines and document handovers
- Support communication and alignment between consulting, design & production teams
Your Profile
- Fluent in German & English (written & spoken)
- Proven experience as an Executive Assistant, Office Manager, or Project Coordinator (agency/creative/consulting/finance background is a plus)
- Experienced with leveraging Chat-GPT / AI Tools
- Strong organizational and time management skills
- Detail-oriented, structured, and proactive
- Comfortable with tools like Google Workspace, Notion, and Figma (or quick to learn)
- Trustworthy, discrete, and able to handle sensitive information
- Interest in design, media production, and business strategy is a plus
