Job description:
We are seeking a dedicated and organized Customer Service Administrative Assistant to join our European after-sales team. In collaboration with the Service Managers and the Spare Parts Manager, you will be responsible for providing administrative support to ensure smooth customer service operations.
Key Responsibilities:
- Support for the Service Managers (several sites in Germany, France, England, Switzerland):
- Recording / invoicing of service assignments according to the Service Manager's report in the local ERP system. Managing and invoicing maintenance contracts. Uploading invoices to various portals / Assisting with reminders for outstanding invoices / Creating credit notes
- Assisting in scheduling appointments and follow-up with worldwide customers as needed
- Preparing reports (ERP and Excel): weekly sales / leads per month / backlog per month / warranty costs per month / S-Curve / estimating the service revenue per week
- Creating presentations in PowerPoint.
- Support for the Spare Parts team (based locally):
- Assisting with the processing of customer spare parts orders
- Handling exchange deliveries up to the creation of credit notes (RMA)
- Supporting the local Service Department, including helping service technicians with administrative tasks for approving customer service visits with special requirements (managing online portals)
Required profile:
- Experience as sales assistant or customer service assistant
- Ideally, technical experience; at minimum, technical curiosity and interest in machinery or industrial equipment
- Familiarity with an international environment
- Very good spoken and written English and German; French or Spanish advantageous
- Proficiency in MS Office (Word, Excel, Outlook) and ERP expertise
- Very flexible, team-oriented and reliable
- Ability to manage stress and peak workloads
- Independent and self-motivated
