The Vice-Rectorate for Studies & Teaching is responsible for the study operations and the further development of teaching at the university. Your tasks
- Appointment and meeting management including minute-taking, reception and information, triage of inquiries and mail processing, handling and drafting of documents and letters, maintaining process lists, various secretarial and administrative tasks
- Document and database management
- IT administration for the Vice-Rectorate
- Participation in projects
- Collaboration with the assistants of the Rector, the Administrative Director, and the General Secretary
- Organization of personnel events
Your profile
- Excellent language skills in German (C2), English (C1), and French (B2)
- Flawless, stylistically confident, and audience-appropriate communication combined with a confident demeanor, neat appearance, and high integration and customer orientation (service excellence)
- Strong reliability, accuracy, sense of responsibility as well as high trustworthiness and loyalty
- Professional certificate as executive assistant or completed bachelor's degree in a related field; ideally experience in an executive secretariat or in a responsible role with customer service and minute-taking
- Very good user knowledge of MS Office applications as well as practical experience with MS SharePoint and MS Teams; knowledge of AI tools is an advantage
