Quatico is a small, emerging software company in Zurich. We develop the sales portal — an AI-powered software that allows companies to create professional offers at the push of a button and sell their services online. With our product, we want to grow internationally. Additionally, we build web portals for Swiss customers.
For the succession of our long-standing team assistant, we are looking for a personality who is there for the team and independently manages the operational business — from accounting to HR to event organization.
The special thing: You work with AI agents who take over repetitive tasks for you. You are not a contributor to a machine — the machines work for you. You decide, review, and approve. Your engineering colleagues are AI experts and create specialized agents for your tasks on your behalf.
Your tasks
Your area of responsibility is broad. No two weeks look the same.
•Contact point for the team: Anyone with a question comes to you first — whether it is about expense reports, the next team event, or parental leave. You take requests, find answers, or forward them. Externally, you are the first voice for applicants, suppliers, and partners.
•Finance & Accounting: Record and post supplier invoices, post credit card statements, reconcile bank transactions, prepare month-end closing. You work with Bexio and coordinate with our external trustee for payroll, annual audit, labor law, or tax law questions.
•HR & Personnel Administration: Manage entries and exits, coordinate recruiting, maintain absences and vacation balances, prepare employee interviews. You manage our insurances (BVG, UVG/KTG) and are the contact person for everything related to social benefits.
•Office & Organization: Answer emails, organize office supplies and catering, plan events — from the monthly hands-on workshop to the annual snow weekend. You ensure that our office is a place where people like to work.
•Reporting & KPIs: Prepare monthly financial and HR key figures. Management relies on your numbers.
Many of these tasks are prepared by AI agents: Emails are pre-classified, invoices pre-recorded, appointments suggested. You review the proposals, give approvals, and intervene where human judgment is required. Your task is not to process routine work — but to understand and continuously improve the processes. If something can be done more efficiently, you find the way.
You bring
•Completed commercial basic education or equivalent qualification
•At least 3 years of professional experience in a comparable role
•Confident German and very good English skills
•Experience with AI tools (ChatGPT, Claude, Copilot or similar) — you try out new tools before being asked
•A flair for numbers and a structured approach to financial data
•Communicative strength and enjoyment in dealing with different people
•Initiative — you see what needs to be done and tackle it
•Precise, independent, and absolutely reliable working style
•Organizational talent and proactive action
Compensation
•Base salary of CHF 40,000 – 46,000 per year for a 50% workload
•Company-wide bonus, bonus portion through peer review
Work location and presence
Our office is located near Zurich main station. Regular presence in the office is important to us. The exact rhythm — whether half a day daily or three longer days — is arranged together. Spontaneous adjustments or home office are possible at any time.
