For this versatile, responsible and exciting position, we are looking for a candidate who brings strong organisational talent and works efficiently and proactively. In a lively clinical environment, you will support the chief physician's secretary in administrative and coordinative tasks, maintain an overview even in demanding situations, and contribute significantly to the smooth operation of the Institute for Anaesthesia and Intensive Care Medicine with your structured working style. Your flexibility, communication skills, and commitment make you a central contact person for various professional groups and internal processes.
- in supporting all areas of the chief physician's secretary
- in co-organising the chief physician's appointment calendar
- in telephone operation and email handling of the Institute for Anaesthesia and Intensive Care Medicine
- in working with the PEP (time recording system) including processing various duty rosters and their adjustments
- in preparing/co-supervising new entries and exits of various professional groups (assistant doctors, nursing staff, etc.)
- in co-creating internal newsletters including dispatch
- in co-managing the intranet (e.g. adjustments of employees joining and leaving, uploading various documents such as instructions/SOPs, duty rosters, etc.)
- in administratively preparing and following up on various meetings (creating agendas, sending minutes to the correct recipients, etc.)
- in preparing PowerPoint presentations
- in report processing/corrections including electronic dispatch
- in supporting the pain consultation (summons, triage, recall, etc.)
- in various administrative tasks
- have completed vocational training in the commercial field with additional training as a hospital or medical secretary
- have several years of professional experience as a medical secretary in a similar position
- are an open, motivated, and flexible personality
- have an independent working style
- possess an empathetic and customer-oriented approach
- are an organisational talent
- have good PC skills
- have confident German language skills
- are proficient in PowerPoint and Excel
- have KISIM experience
