The Learning and Adaptive Systems Group is part of the Institute for Machine Learning and belongs to the Department of Computer Science at ETH Zurich. It offers an international, lively, and challenging working environment. The head of the group is also the chairman of the steering committee of the ETH AI Center and academic co-director of the Swiss Data Science Center.
In this varied position, you support the professor and his team in administrative and organizational tasks and take on an important coordinating role with a diverse range of activities. An exciting task with a lot of personal responsibility awaits you in an open and dynamic environment. You are also integrated into the institute's admin team. The position starts on March 1, 2026, or by arrangement.
Job description
- Personal assistance: Appointment scheduling and management, professional and careful correspondence, coordination with internal and external contacts, organization of business trips, coordination with the group and organization of efficient processes
- Comprehensive administrative support: Independent management of all administrative tasks for the group, personnel administration and support of group members, responsible financial planning and management, organization of staff events and retreats, occasional planning and execution of seminars and colloquia
- Teamwork in the institute: Active participation in the admin team for joint planning and implementation of events and for effective communication within the institute
Profile
- You have a commercial or equivalent education and at least 3 - 5 years of professional experience and ideally have already gained experience in the higher education environment
- You work carefully, have an eye for detail, and keep an overview even in complex situations. A quick grasp and flexibility help you to efficiently master daily tasks
- You enjoy teamwork. With your strong social skills and communication abilities, you contribute to a positive and collegial atmosphere
- You are committed, independent, responsible, and work proactively
- You have excellent command of German and very good English skills – communication in the institute is mainly in English
