Your tasks
You represent our company internally and externally and perform versatile administrative tasks: from processing incoming and outgoing mail to office material management to organizing meetings, scheduling, and assistance with various office tasks. You help create a pleasant atmosphere for our employees as well as for visiting customers and business partners.
In collaboration with the reception team, independently organize the reception and telephone switchboard
(scheduling, holiday cover, supervision of apprentices as practical trainers, etc.)
Support the finance department of Belimed Life Science in the workflow process of scanning and distributing invoices
Processing incoming and outgoing mail (distribution, franking, and shipping)
Various support tasks in administration and assistance
Support in organizing internal meetings (ordering lunch, taxis, hotels, as well as checking the meeting rooms)
Organization and booking of business trips
Telephone customer service internally and externally (customer reception)
Various general administrative and office tasks (live chat support, business cards, cleaning the coffee machine at reception, etc.)
Procurement and management of office supplies
File management
Support in the continuous optimization of work organization within the reception team
Processing email addresses (triage of general inquiries)
Your profile
Completed commercial training or a comparable qualification is an advantage
Good PC skills / MS Office 365
German as a native language, very good English skills (especially spoken)
Experience in reception as well as in various administrative tasks
