Employee Reception & Administration in the Security Sector 80% (m/f)
Tasks
- Central point at the reception: You are the first point of contact on the phone and greet visitors and business partners in a friendly and professional manner. At the headquarters, you keep an overview and competently forward inquiries.
- Area & Access Control: From the Niederbipp location, you monitor the entire area including the fire alarm center and also ensure access control for the operation in Gretzenbach.
- Room & Resource Management: You coordinate our meeting rooms, manage cloakroom spaces, lifts, and the company vehicle – and ensure that everything is in the right place at the right time.
- Organization & Support of the Security Department: You assist in the planning, organization, and follow-up of internal training (UWEB), audits, and safety inspections. You maintain and manage safety-related documents such as work instructions or risk assessments, coordinate processes in chemical management, and ensure correct documentation. Additionally, you take over the internal and external mail service, organize hotel reservations, and ensure that office supplies are always available.
- Responsibility with foresight: You take on general organizational tasks such as scheduling, minute-taking, and correspondence. In the absence of the safety officer, you represent them – especially in the issuance of personal protective equipment and documentation in the safety department.
Profile
- Education & Experience: You have completed commercial training or bring several years of professional experience in a comparable position at the reception.
- Organizational talent & personal responsibility: You work in a structured, service-oriented, and independent manner. Even in hectic moments, you remain calm, think along, and take responsibility. A well-groomed appearance, discretion, and reliability are a matter of course for you.
- IT competence & tool security: You are familiar with MS Office and navigate confidently in digital work environments.
- Communication & Language: You communicate clearly, friendly, and professionally – both on the phone and in personal contact. You have very good German language skills in spoken and written form; additional language skills are an advantage.
- Flexibility & Team spirit: You are willing to cover for your team colleague during vacation absences or in case of illness at a 100% workload.
