Administrative Assistant 100%
Purpose of the role:
Within the Municipal Population and Reception Service, respond to the requests and needs of the municipality's visitors and resolve various issues related to the function.
Main tasks:
- Welcome, inform and guide the population at the counter, by phone, by mail and electronically
- Manage resident control: registration of arrivals, departures, address changes and mutations
- Issue and deliver official certificates and identity documents (identity cards, various certificates)
- Ensure the administrative follow-up of secondary residents, SPAH files and unreported mutations
- Control, issue and collect invoices and fees; manage the cash register and perform closures
- Process and validate data exchanges and information transfers with cantonal systems (ATI, SPOP, biometrics)
- Manage the Foreigners' Office files: announcements, permits, renewals, visas and archiving
- Maintain relations with municipal, cantonal and federal services
- Ensure the general reception of the municipal administration in the absence of the holder
- Manage mail, telephone calls and various administrative services at reception
- Ensure the sale and management of municipal services (CFF cards, swimming pool, waste disposal site, room rentals)
- Manage stocks, supplies, keys, as well as shared resources (electric bikes, Mobility vehicle)
- Participate in the organization and monitoring of electoral, referendum and naturalization processes
- Supervise and support the training of the commercial apprentice within the service
Your profile:
- Holder of a commercial employee CFC or equivalent qualification;
- Minimum 2 to 3 years of experience in a similar position, an asset;
- Excellent command of Office software (Word, Excel, Outlook);
- Good knowledge of English;
- Having a second foreign language is an asset.
