Unit Secretary for the Gastroenterology Service
The Gastroenterology and Hepatology Service of the Department of Medicine (DM) is looking for a unit secretary with a workload between 80% and 100%.
The starting date is scheduled for May 1, 2026, or to be agreed upon.
Context
The Lausanne University Hospital (CHUV) is one of the five Swiss university hospitals. Thanks to its collaboration with the Faculty of Biology and Medicine of the University of Lausanne and EPFL, it plays a major role in medical care, medical research, and education.
The Department of Medicine (DM) is a central pillar of CHUV's activity. It brings together 12 medical specialties and more than 1,600 employees, and has recognized expertise in the care of patients suffering from multiple and complex conditions.
As a department strongly oriented towards education and research, it places quality, innovation, and interdisciplinary collaboration at the heart of its mission.
The Gastroenterology and Hepatology Service provides specialized care for diseases:
- gastrointestinal (inflammatory bowel diseases, digestive cancers, digestive hemorrhages, pancreatic pathologies, etc.)
- hepatic (acute and chronic hepatitis, cirrhosis, liver cancer, liver transplantation.)
Mission
- You ensure the complete administrative management of consultations: appointment scheduling, consultation preparation, typing, billing, sending reports, follow-up and archiving of medical records
- You are the privileged contact person for patients, both by phone and during consultations, and ensure coordination with internal and external stakeholders
- You manage the schedule of the senior physician for all their activities (clinical, research, education, institutional meetings)
- You assist the senior physician in organizing conferences and scientific events: invitations, room reservations, logistics, catering, convocations, financial follow-up
- You support the senior physician in their research activities, notably by ensuring the link with students
- You participate in covering for colleagues in similar roles and contribute to the transversal administrative tasks of the service.
Profile
- You hold a medical secretary training or an equivalent qualification
- You have about 5 years of experience in a similar role, in a medical or hospital environment
- You master common computer tools; knowledge of institutional tools (Soarian, Axya, Ultragenda) is an asset
- You have perfect command of French; knowledge of English is an asset
- You possess excellent interpersonal skills and adapt your communication to the context and your interlocutors
- You demonstrate rigor, can work independently, and show proactivity in organization and initiative-taking.
