The ETH AI Center is one of the world's largest university centers for artificial intelligence, with over 120 professors from all 16 departments of ETH Zurich as well as more than 1,400 doctoral students and 250 postdoctoral researchers. You will be part of the Operations Team of the ETH AI Center, where you will be at the heart of the action and ensure that everything runs smoothly in the HR area. In this versatile and responsible position as an HR Administrator, you will take on administrative and organizational tasks to support our international team.
The position is limited to one year, with the option of extension. We aim for a long-term collaboration. Possible start is immediately or by arrangement.
Job Description
- You act as a hub between the ETH AI Center and the centralized HR department
- Handling all administrative processes of the HR life cycle, e.g. hiring, management of employment contracts, extensions, and terminations
- Maintaining personnel files and managing absences (e.g. vacation planning, maternity/paternity leave, sick leave, unpaid leave)
- Preparation and coordination of onboarding and offboarding processes (organization of IT equipment, system access, workplaces, and training plans)
- Support in updating and communicating internal HR policies
- Organization and documentation of processes related to working hours, holidays, and other administrative tasks
- Advice and support with registration at local authorities, finding accommodation and banks, as well as concluding insurance contracts
- Close collaboration with other departments to ensure smooth workflows
- Support in handling ad-hoc requests
- Responsibility for general office administration and organization
Profile
- Successfully completed training in a relevant field, commercial training, or comparable qualification
- Initial professional experience in HR administration, ideally in an international environment
- Structured and precise working style with an eye for detail
- Friendly and professional demeanor as well as strong communication skills
- Very good German and English skills, both spoken and written
