Your Tasks
- You support the Research Manager in the operational and administrative day-to-day business and ensure a smooth process.
- You accompany administrative HR processes for new and existing team members from preparing the necessary documents through recruitment and interviews to onboarding and induction.
- You assist with administrative financial processes – especially in creating and updating budget overviews, invoicing and processing, as well as account assignment in collaboration with the responsible specialist departments.
- You independently organise meetings, workshops, retreats and other events and take care of their preparation and follow-up.
- You reliably create agendas and minutes while keeping track of pending tasks, appointments and deadlines.
- You coordinate and carefully prepare internal and external meetings and appointments.
- You actively support the team in creating, compiling and preparing research, project and other reports.
- You coordinate and maintain project documents and administrative documentation in a structured and conscientious manner.
- Within the framework of research projects and clinical studies, you support administrative and regulatory processes, especially in coordinating study documents, agreements and other regulatory relevant documents.
- As a central contact person, you coordinate communication with internal and external partners as well as specialist departments.
- You actively contribute your ideas to the development, optimisation and improvement of administrative processes and structures.
- You support team members in clarifying procedures, responsibilities and required documents, thereby contributing to efficient work processes.
Your Profile
- Completed higher education in a field relevant to the role, for example in administration/management, healthcare or life sciences; a university degree (Bachelor or Master) is an advantage
- Several years of experience in an administrative or coordinating role, ideally in a university, clinical or scientific environment
- Knowledge of regulatory requirements and processes in clinical research as well as experience with study documents and agreements is an advantage or alternatively willingness to quickly acquire this knowledge
- Interest in scientific and medical issues as well as openness and curiosity for research topics
- Experience in budget/financial administration and project coordination
- Independent, structured and reliable working style as well as strong organisational talent
- Enjoyment of a dynamic, versatile interface function and coordinating diverse tasks
- Strong communication and teamwork skills as well as a solution-oriented and cooperative working style
- Very good knowledge of MS Office applications, especially Excel
- Very good German and English skills, spoken and written
