This role will work in a very fast-paced and open office work environment and deal extensively with internal contacts within the organization as well as external business partners and service providers. In some cases this position will be the first point of contact for the department. The ideal candidate will have a high level of initiative, tact and professionalism. Under limited supervision, this position provides diverse administrative/ IT support, by performing a variety of routine and non-routine tasks. In addition to administrative task, this role is to support the Office Manager in various tasks.
Major Duties/Responsibilities
- Organize and manage office services including but not limited to mail/post, office supplies, computers, phones, cleaning, and office maintenance. Organizing and maintain filing systems and processes and storage. Perform general clerical duties including but not limited to photocopying, mailing and filing.HR related inquiriys and tasks.
- Team Support across Hershey Trading: Proactively manage group calendars, schedule appointments and meetings. Coordinate and book international travel, visas, and details prior to travel.
- Other Admin support-Generate reports using SAP and Excel. Assist in the preparation of presentations and reports by compiling data from numerous sources. Create and modify complex presentations using Microsoft Power Point.
- Support on all related IT activities within the organisation
- Organize and lead team events. Weekly activities within the office as Aperos and visitors.
Minimum Knowledge, Skills, and Abilities required to successfully perform major duties/responsibilities:
- Analytical Skills: Strong analytical and problem-solving skills, identify patterns, and propose actionable insights.
- Communication Skills: Excellent verbal and written communication skills, with the ability to interact with internal and external senior level executives and build strong relationships
- Technical Knowledge: Knowledge in IT technology and systems and advanced skills in Microsoft Office, particularly Excel.
- Project Management: Demonstrated experience in managing office projects, including the ability to plan, execute, and monitor projects to achieve desired outcomes.
- Personal initiative, Attention to detail, Responsiveness, Pro-active thinking and action, ability to handle stressful situations
Minimum Education and Experience Requirements:
Education: Bachelor’s Degree required
Experience:
- A minimum of 3-5 years of experience in office operations, service delivery, or process improvement required
