For our client, a high?net?worth individual based in Zug, we are recruiting an experienced and highly adaptable Personal Assistant. In this role, you will provide comprehensive support to the principal and their family, managing a fast?paced agenda, coordinating lifestyle matters, and ensuring seamless day?to?day organisation. While the position offers the flexibility to work from home, mobility and a valid driver's license are essential. Occasional travel with the family may also be required.
Description
As Personal Assistant, you will become the central coordination point for the principal and their family, ensuring seamless organisation, efficiency, and discretion across all responsibilities. You will:
Executive & Business Support
- Manage complex and ever-changing calendars, meetings, and travel schedules
- Coordinate international business trips, itineraries, visas, logistics, and related documentation
- Liaise with internal and external stakeholders, advisors, and service providers across multiple time zones
- Support with document preparation, correspondence, presentations, and research tasks
- Ensure smooth day-to-day management of ongoing projects and business-related matters
Private & Lifestyle Support
- Handle private appointments, reservations, personal errands, and household coordination
- Organise luxury and bespoke travel arrangements for the family
- Provide concierge-style services, incl. restaurant bookings, events, and premium service coordination
- Assist the principal's spouse in daily matters and coordinate family-related tasks
- Support family routines for children (calendars, logistics, activities, communication with schools and providers)
Operational Excellence
- Maintain absolute discretion and confidentiality at all times
- Manage shifting priorities and execute tasks with speed, accuracy, and proactive thinking
- Combine independence with strong stakeholder collaboration
- Make sound decisions in fast-moving, high-stakes situations
Profile
- 3-5+ years' experience as a PA in UHNWI, private family office, or high-level corporate executive support, supported by a higher education degree
- Proven track record in luxury travel, concierge and lifestyle management, VIP support; confident assisting families and school-aged children; valid driving license
- Fluent English and Russian (spoken & written), advanced German (strong plus), Italian beneficial
- Exceptional organisational and communication abilities, high attention to detail, strong anticipatory thinking, and excellent prioritisation across shifting tasks
- Strong judgment in high-pressure environments; hands-on, proactive, flexible, and solution-oriented mindset
- Proficient in MS Office and experienced with generative AI tools (e.g., ChatGPT) for drafting, research, and workflow optimisation
- Professional, polished, discreet, calm under pressure; verifiable references considered a plus
