The work model is primarily on-site, but it still allows for remote work at times.
About the Role
This position captures the true essence of a PA role, not project management, not strategy work, but ensuring the CEO’s office runs seamlessly, day in and day out. You take pride in being the right hand that keeps everything on track. You think on your feet, walk the talk, and get things done without fuss. The CEO’s global calendar is a «living organism», i.e., plans evolve, priorities shift, and you stay one step ahead. Travel is organized end-to-end, with the same care and precision you would apply if you were the one travelling; when a flight changes, you already know and have alternatives ready. You will also work closely with the Chief of Staff, aligning daily to keep things running smoothly and ensuring that the office operates as one well-coordinated unit. At the end of the day, we are not impressed by buzzwords in a CV; we are impressed by proof that you have done this personal assistance before.

What you will be doing
- You coordinate, align, and anticipate, so the CEO’s complex agenda moves with precision, and all meetings are planned from end to end, and all documents are prepared and at hand when needed.
- You prepare board and partner meetings and arrange events, luncheons, and dinners with the same sense of care and attention to detail.
- You ensure that the CEO’s attendance at art meetings, exhibitions, and fairs is planned and executed seamlessly.
- You are the point of connection between offices, departments, and external partners.
- You make sure communication is clear, meetings are well-prepared, logistics are smooth, and priorities are respected.
- You dive in where needed, and you close the loop so that nothing falls through the cracks.
- You handle correspondence in both German and English with polished communication skills and discretion; if you happen to speak other European languages, even better.
- Simply put: You will be the CEO’s trusted gatekeeper: professional, reliable, and always a few steps ahead.
What you bring
- You have completed a commercial apprenticeship.
- A minimum of six years’ experience as a senior-level Personal Assistant in an international setting. However, it’s less about counting years and more about your attitude.
- Proficiency in MS Office and modern collaboration tools and applications
- Proficiency in German and English.
- Precision and a proven track record of flawlessly organizing complex days.
- International exposure, ideally through work or time abroad, helps you move with ease across cultures.
- You are organized and resilient: when priorities shift, you remain calm and keep the overview.
- You take pride in doing things properly: with care and that extra touch of polish that makes all the difference.
