Cooperating with :
Congress and Events internal and external stakeholders (e.g. CCC, DMC, PCOs, sponsors, exhibitors, suppliers, convention centres), AIPPI National Groups, AIPPI Committees, AIPPI Bureau, General Secretariat Team
Your main responsibilities:
- Working with Secretary General, Congress and Event team members and Executive Director to develop AIPPI strategic goals for new Congress and Events formats and strengthen current AIPPI’s Congress and Events portfolio
- Manage full lifecycle of congress and events
- Develop project plans, define scopes, assign internal and external tasks
- Budgeting and financial planning for Congress and events
- Manage relationships with venues, local, national and international partners
- Working together with Secretary General, Executive Director on KPIs, and Bureau reporting
- Ensure integration of new technologies and best practices for the planning and organisation of Congress and Events
- Represent AIPPI in international event industry and in contacts with local and international partners
Your Profile:
- Bachelor’s degree in Event Management, Hospitality, Marketing, Business Administration, or related field.
- Minimum 8 years of experience in event/project management, preferably in association or corporate settings.
- Certified Meeting Professional (CMP) or similar certifications are advantageous
- Strong experience with in-person and hybrid conferences around 2500-5000 participants
- Proven track record of organising international congresses and events (in-person and hybrid) including venue selection, sponsorship/exhibitor coordination, and delegate services.
- Strong ability to manage multiple projects under tight deadlines
- Strong interpersonal and communication skills to engage with diverse stakeholders (leadership, members, sponsors, partners)
- Strong ability to work collaboratively in a team environment
- Empathic personality with commitment to diversity and inclusion
- Skilled in budget planning, contract negotiation, and vendor management.
- Highly organised with meticulous attention to detail, conceptional and problem-solving abilities.
- Culturally sensitive with experience working in international, multicultural settings
- Creative thinker with an eye for memorable experiences
- Proficiency in event management software (e.g. Cvent, EventsAir, Eventbrite, or similar).
- Knowledge of CRM and membership systems (e.g. CRM Dynamics)
- Excellent MS 365 and project management tools (e.g. Asana).
- Excellent language skills in English (native or fully proficient); other language skills (German, French, Spanish, etc.) desirable
- Eligible for Swiss work permit
- Willing and able to occasionally travel for organising and attending AIPPI events
