JOB SUMMARY
In this role you will provide administrative and organizational support to the Niche Business Development team in project management, order management and B2B sales support across various global countries.
WHAT YOU WILL DO
- Process customer inquiries by email/phone in English and German, ensuring timely, accurate and service-oriented responses.
- Manage and coordinate customer-related projects in the absence of the sales representative, ensuring timelines, communication flow and successful execution with internal teams and external stakeholders.
- Enter and process incoming customer orders, proforma invoices and related sales administration tasks.
- Prepare and process quotations according to internal guidelines and support customer-specific projects as required.
- Provide general sales materials and documentation, including fragrance pyramids, regulatory documents and other customer-related information.
- Organize and supervise sample orders for clients in coordination with the laboratory, evaluation and logistics teams.
- Prepare shipping and customs documents, coordinate shipments with freight forwarders and monitor delivery dates, including hazardous goods when required.
WHAT WE EXPECT
- Commercial qualification, Swiss commercial apprenticeship or equivalent studies.
- Minimum 3 years of professional experience in a commercial, sales support or customer service role, ideally within the luxury or niche product industry.
- Strong customer and service orientation with a solution-oriented, reliable and precise work style.
- Experience in logistics, export or international customer coordination is an advantage.
- Fluent in English and German; French and/or Italian is a plus.
- Confident user of Microsoft Office and comfortable handling administrative processes and documentation.
- Team-oriented personality with professional communication skills, a friendly appearance and occasional travel flexibility.
