We are looking for an experienced and proactive Administrative Assistant to support a dynamic and international Strategy & Operations team in Basel. This role combines administrative, organisational, and project coordination responsibilities, offering the opportunity to work closely with senior stakeholders and contribute to high-impact initiatives in a fast-paced, innovation-driven environment.

The Strategy & Operations unit in Basel operates in a highly international, fast-paced and multidisciplinary environment, collaborating with colleagues and partners across Europe, Asia, and North America. For this role the client would like the candidate to be on side 80%.
Description
Coordinate and manage complex calendars across time zones, including scheduling meetings and appointments
Draft, proofread, and manage internal and external communications
Prepare and format documents, reports, and presentations to meet internal standards
Organise international travel arrangements and prepare detailed itineraries
Reconcile credit card statements, process reimbursements, and manage travel and financial documentation
Provide back-up support for other senior assistants within the unit
Maintain and structure both electronic and physical filing systems, ensuring easy retrieval and confidentiality
Assist in strategic project coordination, including scheduling, documentation, and tracking deliverables
Prepare agendas and meeting minutes and follow up on action items
Support sprint meetings and contribute to ideation and prioritisation processes
Help organise internal and external events and liaise with stakeholders for logistics and documentation
Maintain stakeholder contact databases and assist with communication follow-ups
Proactively identify and implement improvements in administrative and organisational processes
Profile
Proven experience in a broad administrative or operational support function
Experience working in a start-up or highly dynamic and evolving environment
Comfortable engaging with stakeholders across different backgrounds and seniority levels
Fluent English is required
Strong proficiency in Microsoft Office 365 and Outlook
Highly organised, detail-oriented, and able to multitask efficiently
Strong interpersonal skills, collaborative mindset, and ability to work in a flat and multicultural team structure
Acts with discretion, tact, and initiative
