Administrative Assistant to the Operations Director (m/f/d) 40-60 %
Location : Grenchen, Bettlach
Type of Contract : permanent employment
Start date: in alignment with the candidate’s availability
YOUR RESPONSIBILITIES
- Coordinate executives, directors and/or manager’s calendar, meetings, correspondence and presentations as needed.
- Coordinate and arrange meetings facilities and records and transcribes minutes of meetings.
- Participate or lead special projects and/or events.
- Arrange and coordinate travel schedules and reservations when required.
- Administer program, projects and/or processes specific to the department served.
- Serve as the administrative liaison with others within and outside the company regarding administrative issues relating to purchasing, personnel, facilities and operations.
- Generate reports and graphs as needed.
- Order and maintain supplies.
- Plan and prepare for customer visits.
- Serve as resource to others in the resolution of complex problems and issues.
- Adhere to all safety and health rules and regulations associated with this position and as directed by supervisor.
- Comply and follow all procedures within the company security policy.
- May perform other duties and responsibilities as assigned.
YOUR BACKGROUND
- Min. 3 years of experience as an administrative assistant in a manufacturing company, ideally in a highly regulated industry
- Apprenticeship in Commerce (EFZ) or similar degree
- Further education as Management assistant with a federal diploma or similar degree
- Fluency in German and English is a must, Fluency in French is an asset.
- Very well organised personality and detailed oriented work approach
- Ability to distinguish between public and confidential information.
- Excellent Microsoft Office 360 Skills
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
