Job Description
Assist the Vice-President Marketing: Manage the agenda and appointments assigned to the VP role. Organise business trips and travel. Handle and filter telephone calls and maintain contact with service providers and contacts. Receive and follow up on correspondence (drafting emails/letters, responding to partnership requests). Write minutes. Manage and organise the filing of documents and files for the VP. Perform all administrative tasks as instructed by the VP. Administrative coordination: Design, organise and monitor administrative files and certain meetings. Organise visits of partners and subsidiaries in Saint-Imier. Organise training within the department for new employees. Manage and organise the filing of documents and files (IT network, Intranet/SharePoint). Coordinate administrative tools related to department management (attendance planning, mail management, ordering equipment for the department, etc.). Various administrative tasks: correspondence, organisation of internal events, ... Delegation and supervision of tasks to the department intern.
Profile
Training in the commercial and/or administrative field or equivalent qualification, ideally complemented by a federal certificate as an executive assistant. Proven experience (3 - 5 years) in an executive secretariat. Good knowledge of the MS Office suite, Outlook and SAP.
