Organisational Assistant (Executive Assistant)
80 - 100 %In this versatile role, you will support the department head in all administrative, organisational, and coordinative assistance tasks, ensuring smooth operations. You will manage appointment coordination as well as the preparation and organisation of meetings and events. You will conduct the pending tasks and order controlling for the department management. You will assist with correspondence and documentation tasks and support the department head with projects, preparation of decision-making bases, and analysis of financial key figures. Additionally, you will serve as the central contact point for the managers, employees, and partners of the four institutes located within the department. As part of the administration team, you will take on further tasks to support study operations in coordination with the head of administration.
Your profile
- Commercial training with several years of professional experience
- Further training as an executive assistant with a federal specialist certificate (advantageous)
- Open and communicative personality with a strong service orientation and flair for numbers
- Experience in minute-taking, appointment coordination, and organisation, as well as enjoyment of diverse organisational tasks
- Quick comprehension and ability to grasp complex contexts and process them in a structured manner
- Very good German and MS Office application skills
- Willingness to work at occasional events outside regular business hours
