The position is attached to the Surgery Department . This department provides care for patients both electively and in emergencies. It is a centre of excellence, not only in Switzerland but also in Europe, in several fields and surgical specialties.
Job Description
The Cardiovascular Surgery Service is seeking a full-time medical secretary to join its secretariat and contribute to coordinating outpatient and inpatient care for patients.
You will organise consultations for the various doctors in the service by scheduling medical appointments, preparing patient files, and managing communications with patients and partners, primarily by telephone. You will also coordinate the scheduling of additional examinations. Following consultations and hospitalisations, you will ensure the typing, proofreading, and formatting of medical documents.
In parallel, you will handle all administrative activities of the Cardiovascular Surgery Service: rigorous follow-up of patient files, management of mail and email, clinical documentation, and archiving. You will actively participate in ensuring smooth and quality organisation within the secretariat.
As part of the versatility required for service continuity, you may occasionally be required to cover other secretarial functions within the Cardiovascular Surgery Service.
Autonomous and organised, you will manage requests for care outside the canton as well as medical information requests from insurance companies, and handle logistical tasks related to the secretariat’s activities. You will actively contribute to service continuity within the team.
With an excellent sense of organisation, good adaptability, and interpersonal skills, you demonstrate reliability, discretion, and a genuine service-oriented attitude.
Qualifications
You hold a diploma as a medical secretary or an equivalent qualification.
You have a very good knowledge of IT tools (ECDL advanced level required for Word and standard for Excel), and are also proficient in Outlook and the institutional software used at HUG (DPA, DPI, GRECO 2).
You can touch type at a minimum speed of 250 keystrokes per minute with a high level of accuracy.
You have perfect command of French, both spoken and written, and proven writing skills. Medical terminology is essential.
Proficiency in English or German is an asset.
With a good team spirit, you are able to work in a shared office with several secretaries.
While having a good sense of organisation and priorities, you are autonomous, rigorous, and precise in the tasks assigned to you. You are comfortable in a multitasking environment and can manage several simultaneous demands.
Finally, you demonstrate a strong sense of confidentiality.
