Job Description
We are recruiting an Administrative Assistant to join the Training & Communication Department. In this role, you support the implementation of internal and external communication initiatives, contribute to strengthening the Syngenta brand, and provide versatile administrative support to the team.
Responsibilities
Events & Occasions
- Ensure the material and logistical organisation of various events (training sessions, forums, workshops, celebrations, press conferences…)
- Set up and monitor a schedule
Document Production
- Design and format communication materials (leaflets, invitations, PowerPoint presentations…)
- Take photographic shots
- Ensure the distribution of communication documents
Administrative Support
- Record and manage sponsorship requests (correspondence, promotional material, treasury follow-up)
- Handle routine administrative management: files, orders, invoices, expense claims
- Coordinate the monthly induction training with departments and internal/external trainers; facilitate IT welcome and discovery sessions; monitor the three-week induction programme
- Keep contact databases up to date (journalists, partners, target audiences)
- Manage image rights release forms as well as the department’s photo library
- Archive and distribute the department’s information and documentation
Qualifications
Required
Education & Experience
- Degree from a higher education institution, commercial employee CFC or equivalent
- 2 to 3 years’ experience in a similar role
- Experience in a multifunctional environment; knowledge of the company is appreciated
Technical Skills
- Proficiency in MS Office tools
- Fluent in French and English (written and spoken)
- Excellent writing skills and impeccable spelling
- Basic knowledge of communication and document management
Personal Qualities
- Autonomy, responsiveness and ability to work under pressure
- Ability to manage several files simultaneously
- Rigour, method and organisational skills
- Dynamic personality, comfortable working in a team
- Ease of integration into a new environment
