Administrative Manager of Temporary Resources
The Human Resources Directorate (HRD) and the Nursing Directorate (ND) of the CHUV are seeking an Administrative Manager of Temporary Resources at 60%, to support administrative activities related to the placement of temporary nursing and non-nursing staff within the institution. The starting date is to be agreed.
Context
The Lausanne University Hospital (CHUV) is one of the 5 Swiss university hospitals. Thanks to its collaboration with the Faculty of Biology and Medicine of the University of Lausanne and EPFL, the CHUV plays a leading role in medical care, medical research, and education.
As part of an ambitious project to centralise internal and external temporary resources, the Human Resources Directorate (HRD) and the Nursing Directorate (ND) are combining their expertise to build a more efficient, agile, and service-oriented temporary staff management model.
Within this evolving framework, you will ensure the administrative and financial monitoring of temporary placement activities. You will contribute to data quality, compliance with administrative processes, and the proper functioning of management tools used by placement units.
In collaboration with placement teams, you will ensure the administrative and financial follow-up of activities, participate in the control of management information, support users of the PRIM application, and contribute to the continuous improvement of practices and tools meeting the operational needs of temporary staff placement units (CART and ND Pool).

Mission
You contribute to the smooth running of temporary placement activities by ensuring administrative follow-up, invoicing, and control of the data necessary for their management. Through your administrative rigour and mastery of tools, you participate in the quality of management information and compliance with current processes.
In this context, you:
- Ensure the proper invoicing of temporary placement activities, whether concerning assignments carried out by partner agencies or by internal nursing or non-nursing pool staff
- Ensure the consistency and reliability of administrative and financial data by performing necessary checks between different systems and supporting documents
- Identify, analyse, and monitor invoicing discrepancies, while coordinating corrective actions with the various stakeholders involved
- Work closely with accounting teams to ensure efficient processing and rigorous monitoring of financial operations
- Manage the administrative aspects of placement activities and contribute to maintaining a high level of documentary quality
- Participate in the harmonisation and improvement of administrative practices between nursing and non-nursing staff placement activities
- Act as a resource person and super user of the PRIM application, supporting users on a daily basis
- Actively contribute to the evolution of tools by participating in functional tests, configurations, and application developments
- Produce, monitor, and analyse key performance indicators necessary for activity monitoring
- Carry out statistical analyses and reporting required by internal partners
- Take part in cross-functional projects aimed at optimising processes, tools, and management practices for temporary resources.

Profile
- You hold a Federal VET Diploma as a commercial employee or an equivalent qualification
- A commercial professional maturity, a higher education diploma (ES), or equivalent training in administrative, HR, or management fields is an asset
- You have experience in a role involving invoicing, operational monitoring, and data management
- You possess excellent proficiency in common office tools, especially Excel
- Knowledge of PRIM, Polypoint, and GDI tools is an asset
- Experience as a functional referent for a business tool is an advantage
- You are capable of structuring, monitoring, and improving administrative processes
- You demonstrate rigour, excellent organisational skills, and a strong quality orientation
- You have good stress resistance and can manage activities subject to deadline constraints
- Experience in a complex hospital or institutional environment is an asset.
