Office Manager at the Institute for Building Materials
The Chair for Physical Chemistry of Building Materials is part of the Institute for Building Materials within the Department of Civil, Environmental and Geomatic Engineering at ETH Zurich. It offers an international, vibrant, and intellectually stimulating work environment. The head of the group also serves as Co-Chair of Design++, the ETH Center for Augmented Computational Design in Architecture, Engineering and Construction.
In this varied role, you will support the professor and the team with administrative and organizational tasks, playing a key coordinating role across a wide range of activities. You can expect an exciting position with a high level of responsibility in an open and dynamic environment. You will also be part of the institute’s administrative team. The position is available starting March 1, 2027, or by mutual agreement.
Job description
- Personal assistance: Scheduling and calendar management, professional and thoughtful correspondence, coordination with internal and external stakeholders, organization of business travel, coordination within the group, and ensuring efficient workflows
- Comprehensive administrative support: Independent management of all administrative tasks for the group, HR administration and support of group members, responsible financial planning and management, organization of staff events and retreats, and occasional planning and execution of seminars and colloquia
- Team collaboration within the institute: Active participation in the administrative team to jointly plan and implement events and ensure effective communication within the institute
Profile
- Completed commercial training (or equivalent) and at least 3–5 years of professional experience, ideally including experience in a higher education environment
- Strong attention to detail, organizational skills, and the ability to maintain an overview in complex situations; quick comprehension and flexibility help you efficiently manage daily tasks
- A team-oriented mindset with strong interpersonal and communication skills, contributing to a positive and collaborative atmosphere
- Highly motivated, proactive, independent, and responsible work style
- Fluent German (written and spoken) and very good English skills; communication within the institute is predominantly in English
