- You comprehensively, reliably and proactively support the CEO and the six members of the executive management in the administrative day-to-day business.
- You organise appointments, trips and meetings so that everything meshes seamlessly before anyone notices how much coordination is involved.
- In meetings, you take the minutes and do not let go of pending tasks and decisions until they are completed.
- Seminars, workshops and internal events bear your signature from the first idea to the last detail.
- As an interface, you connect executive management, managers, employees, external partners and the Vaillant Group.
- You actively shape internal communication, such as our employee bulletin.
- You prepare correspondence, presentations and documents so confidently that they can be forwarded without review.
- In e-mail management, you keep an overview, prioritise wisely and follow up on what is still open.
- You independently manage smaller projects and contribute to cross-departmental initiatives.
- You continuously develop administrative processes and templates because good is never good enough for you.
- The office ordering system is also in your best hands.
What makes us successful together
- Your foundation is a commercial apprenticeship, ideally complemented by further training as an executive assistant with a federal diploma or equivalent.
- You bring several years of assistant experience at executive or management level.
- You are very proficient in Microsoft 365, especially PowerPoint and Outlook, and digital work tools are second nature to you.
- You work routinely with collaboration tools such as Teams and SharePoint.
- Your German is stylistically confident in spoken and written form, complemented by good English and French skills.
- You genuinely enjoy supporting others: you prioritise the success of the whole over personal profiling, and you understand relief of others as core to your role.
- You recognise needs, appointments and bottlenecks and act before problems arise.
- Your benevolent, reliable and discreet manner builds trust at all levels.
- Even under heavy workload, you remain calm, maintain an overview and clear prioritisation.
- Your quality standards extend to the smallest detail.
- Confidential information is absolutely secure with you, as loyalty and discretion are non-negotiable for you.
- You live an open-door mentality and are approachable when needed.
